      January

        1 - Club and returning player CIPP has expired. Start registration and process, keeping a copy for the team's records ***

        3rd or 4th week - Attend the VRU's Annual General Meeting in Richmond

        Confirm VRU's current information about your team and officers

        Confirm VRU's current information about your pitch location

        Submit new address changes to the VRU Secretary

      February

        1 - Deadline for spring schedule to be submitted to the Referee's Society of Virginia (RSV) *

        1 - Deadline for club CIPP compliance ***

        1st week - Payment of dues ***

        CIPP Register new players keeping a copy for the team's records **

      March

        Start planning and making contacts for fall schedule - checking for any potential conflicts for next season

      April

        1 - Deadline for dues to VRU ***

        Schedule matches for the fall semester

      May

        Submit summer contact information to the Secretary of the VRU

      June

      July

      August

        1 - Deadline for fall schedule to be submitted to the Referee's Society of Virginia *

        Review any new laws for the new season. Request law changes from the RSV or local referee. You are also encouraged to purchase the most recent edition of the Laws available from any rugby vendor or the National Office.

      September

        1st week - Payment of dues ***

        CIPP - Register new players, keeping a copy for the team's records **

        Weekend after Labor Day - season officially begins

      October

        1 - Deadline for dues to VRU **

        Last full weekend - Ed & Sandy Lee Cup (VRU state tournament)

        Start planning and making contacts for spring schedule - checking for any potential conflicts for next season

      November

        Select Sides (VRU and MARFU)

        Schedule matches for the spring season

        Elect new officers (VRU recommended)

      December

        Submit new officer address changes to the VRU Secretary

        Submit new officer address changes to Rugby Magazine for inclusion in the National Directory

       

      * Lack of this can result in no referees

      ** Lack of this can result in a forfeit

      *** Lack of this can result in suspension

       

      A few season long reminders:

        Be sure to work through the respective divisional coordinator if you have any questions.

        Please submit updates to your club contact list to the VRU Secretary throughout the year as changes are made. It is very important to have the information as current as possible. It is very frustrating for everyone when a club can not be reached because of out-of-date information.

        Continuously CIPP register new players

        Provide information of interest to the VRU Newsletter Editor

        Report all tournaments hosted to the VRU Vice President

        Report all incoming or outgoing tours to the VRU Vice President

        Provide players to Select Side trials and competitions

        Deal with all internal and external organizations in a professional manner

      For the Game:

        A few days before a game, the home team should contact the referee to make sure the referee has the correct game time and pitch location. You should exchange conversation with the ref. Do not just call and leave a message that says 'if there are problems, call me back'. How do you know he received this message in the first place?

        BEFORE the game, write your roster (players' names, positions, and CIPP numbers), with subs, on a sheet of paper to be presented to the referee before the game. No post-game scribblings on napkins - this is not acceptable.

        After the game, be sure to report all matrix scores to the appropriate Coordinator, as delineated in the Handbook.
